    Students may cancel if their visa application is refused. Students must notify the property within 5 days of receiving the visa refusal decision. Evidence of the visa refusal is required. Cancellation and refund will be processed upon verification of the evidence. Students must provide official proof within 7 days when requesting cancellation after the Cooling Off Period.
  • No Place No Pay
    Available under the "No Place, No Pay" policy if the student does not obtain a university place. Students must notify the property within 5 days of receiving confirmation from the university. Supporting evidence is required. Students who do not meet the grades required to start university may be eligible for cancellation. Official proof from the university or UCAS must be provided within 7 days of the cancellation request.
  • Replacement Tenant Accepted
    A replacement tenant is required when cancellation is requested for reasons not covered by the approved cancellation grounds. The replacement tenant must: Be a full-time student.     When should I book my student accommodation?

    It’s best to book as early as you can to secure your preferred room and the lowest possible price. Rooms are allocated on a first come, first served basis and there may also be limited time offers for early bookers.

    Can I pay in installments?

    Yes. LUNA offers flexible payment options, typically linked to student loan dates. In most cases you can pay in several installments and, at some residences, there may also be a monthly payment plan. The payment options available for your chosen room will be shown during the booking journey. Please note that installment and monthly plans may require a guarantor.

    Who can act as my guarantor?

    Your guarantor must be a UK based adult over 18 who is financially stable and agrees to take responsibility for your rent if you are unable to pay. They will need to provide proof of ID and income. If you don’t have a UK based guarantor, you can use an approved guarantor service instead.

    How do I pay my rent?

    The quickest way to pay your rent is online, by logging into your LUNA Students account and paying through the portal. You can also pay by bank transfer – contact your property team directly if you need their bank details.

    What if I don’t get my university place?

    LUNA operates a ‘No Place, No Stay’ approach. If your university place is not confirmed, contact the team within 5 days of receiving confirmation from the university and they will assess your eligibility for a cancellation and refund. You’ll need to provide evidence from the university.

    What if I don’t get my visa?

    LUNA also offers a ‘No Visa, No Stay’ policy. If your visa application is refused, let the property team know within 5 days of receiving the decision and provide evidence of the refusal. They will review your case for cancellation and refund in line with the terms and conditions.

    Can I book if I’m under 18?

    No. You must be 18 or over on your move in day to live at a LUNA Students property. Bookings from students who will still be under 18 at move in are not accepted.

    Can I make a group booking?

    Yes. If you and your friends want to live together, you can contact the residence team and they will do their best to allocate you rooms in the same flat or close together, subject to availability.

    Can I choose where my room is in the building?

    Yes, you can usually request a specific room, floor or part of the building when you book. The team will try to meet your preferences where availability allows.

    How long does a viewing take?

    A typical viewing lasts around 20–30 minutes. You’ll have time to see example rooms and communal spaces and ask the team any questions you have about living at the property.

    Do you offer short-term stays?

    Short term lets are currently available at Trapezium, and may be available at other buildings depending on the time of year and occupancy. Contact the relevant property team to check current short stay options.

    Are there any discounts for early bookings?

    Prices generally increase as the year goes on, so booking early is usually the best way to secure a lower rate. From time to time there may also be special promotional offers for early bookers – keep an eye on LUNA channels for these.

    Are there any hidden fees?

    No. Aside from your rent and the £250 deposit, there are no hidden fees. You will only pay for any optional extras you choose to add or any charges linked to damage or contract changes, as outlined in your tenancy agreement.

    Can I extend my stay?

    In many cases you can stay on beyond the end of your current tenancy, depending on availability. If you’d like to extend, speak to your property team during your tenancy so they can advise on options and pricing.

    Can I book a dual occupancy room?

    Yes, dual occupancy is available in selected studio rooms over 23m². Both people must be full time students and there is an additional weekly rent charge for dual occupancy. To check availability or book, contact the enquiries team.

    I have a disability, medical condition, or special request. How do I book a room suitable to my needs?

    If you have a disability, medical condition or other specific needs that affect your accommodation, contact the property team before you book.     How can I choose the best room for me?

    Yes. LUNA aims to support care leavers and other students who may need extra help. This could include more flexible payment options, additional pastoral support or links to external organisations.     I’m on the waiting list—what are my chances?

    Being on the waiting list means the team will contact you if a suitable room becomes available. Your chances depend on the number of cancellations and current occupancy. Staying in touch with the local team and responding quickly if a room is offered will help.

    Why do you ask for certain information when I apply?

    During the application process LUNA collects information to confirm your identity, check eligibility and comply with UK financial regulations, including routine sanctions screening. These checks help keep residents safe and ensure that payments and guarantor arrangements are handled securely. The information is only used for these legitimate compliance purposes.

    Is there a move-in checklist?

    Yes. LUNA provides a packing and move in guide so you know exactly what to bring and what’s already included. A detailed welcome guide is also sent before you arrive with key information about check in, documents and practicalities.

    What are the opening times for check-in?

    A few weeks before your tenancy start date, the property team will contact you to book a specific check in slot. It’s important to book a slot so staff know when to expect you and can prepare your keys and welcome pack. Exact times will be confirmed by your residence team.

    Can I arrive earlier than my tenancy start date?

    Early arrivals may be possible depending on room availability and time of year. If you want to move in before your contract start date, contact the property team and they will let you know what’s possible and whether any additional charges apply.

    What should I bring with me?

    You’ll need to bring personal items such as bedding, towels, kitchenware, clothes, study materials and any decorative bits you want for your room. LUNA provides the main furniture and appliances. For a detailed checklist, refer to the LUNA packing guide or welcome information.

    What is the WiFi like at LUNA?

    WiFi is provided by ASK4 with speeds of up to 250 Mbps. You connect by selecting ASK4 Wireless, registering in your browser and following the instructions. You can usually connect multiple devices and choose optional upgrades if you want even faster speeds or extra equipment. WiFi calling is supported if your mobile signal is weak, and ASK4’s support team can help with any technical issues.

    Is there air conditioning in the rooms?

    No, rooms do not have air conditioning. However, UK summers are generally mild and the buildings are designed to stay comfortable throughout the year using heating and ventilation systems.

    Can I control the heating in my room?

    Yes. Each room has its own heater or heating controls so you can adjust the temperature to suit your preferences.

    What about ventilation?

    All LUNA buildings are fitted with a mechanical fresh air system designed to keep your room well ventilated with a consistent flow of fresh air.

    What furniture is included in an en-suite room?

    En suite rooms typically come fully furnished with a small double bed and underbed storage, mattress and protector, desk and study chair, wardrobe, shelving and storage, noticeboard, coat hooks, full length mirror, heating unit, curtains or blinds and a private en suite bathroom with shower, toilet, sink and mirror.

    How do I get my post / mail?

    Standard mail is delivered to resident mailboxes at reception. Larger parcels are signed for by the team during office hours. At Bridgeside, deliveries outside these hours will need to be coordinated directly with the courier, and you’ll meet them at the entrance. Always use your full name and room number on deliveries.

    Can I smoke in my room?

    No. All LUNA Students buildings are smoke free inside and across shared and outdoor areas. Smoking and vaping are not permitted anywhere on the property.

    Do I need to buy contents insurance?

    Standard contents insurance is included in your rent, covering your belongings while they’re in your room under the policy terms. You will need to register with the provider to access your cover and can choose to purchase upgrades for additional items or wider cover if you wish.

    How do I report a maintenance issue?

    You can log maintenance requests through the LUNA app. The welcome information explains how to download and use the app, and the team at reception can help if you’re unsure. For urgent issues, contact reception or the out of hours service directly.

    How can I meet other residents?

    LUNA runs regular social events and activities at each residence, especially in the first few weeks of term. You’ll be invited to welcome events soon after you move in, and there are ongoing opportunities to meet the rest of the LUNA community throughout the year.

    Can I move in at any time of day?

    Check in usually takes place during agreed slots arranged with the property team before your tenancy begins. Standard check in starts from 10am on your contract start date, unless you’ve agreed a different time. If you will arrive outside reception hours, you must let the team know in advance so they can support you with access.

    When can I move in?

    For the 2025–26 academic year, standard tenancies start on 13 September 2025. If you hope to arrive earlier, check with the property team to see if early arrival is possible.

    Can I have visitors?

    Yes, visitors are welcome as long as they are respectful of other residents and the building. Overnight guests are allowed for a limited number of nights – check with reception for the exact policy at your residence.

    What if I forget to pay on time?

    If you miss a rent payment, late fees may be applied and it could affect your tenancy if the issue continues. LUNA will send reminders, but the easiest way to stay on top of payments is to set up a direct debit or schedule payments in advance. If you’re struggling to pay, talk to the team as early as possible.

    Is cleaning included?

    Communal areas such as corridors, reception and shared social spaces are cleaned by LUNA’s housekeeping team. Your bedroom and any private or shared kitchen areas are your responsibility, although some properties, such as Bridgeside, include periodic cleans of shared kitchens. You must still keep the space tidy and hygienic between cleans.

    Can I move out early?

    You are responsible for the rent for the full length of your contract, even if you decide to leave early. In most cases the only way to end your tenancy early is to find a suitable replacement tenant to take over your contract, subject to approval by the property team.

    Can I swap my room?

    Room moves may be possible, depending on availability and your circumstances. You must speak to the reception team before moving and wait for written confirmation of any approved room swap. Unauthorised room swaps are not allowed as they can affect contracts, safety records and compliance.

    Can I personalise my room?

    Yes, you’re encouraged to make your room feel like home with decorations, photos and soft furnishings, as long as you don’t damage the walls, furniture or fixtures. If you’re unsure what is allowed, ask at reception before making changes.

    Do you provide kitchenware?

    No, you don’t need to move out during holiday periods. Your room is yours for the full contract term, and you can leave your belongings in place when you go away.

    Can I have guests?

    Yes, you can have up to a small number of visitors in your accommodation at any one time, and overnight guests are generally allowed for a limited number of nights per week. Exact limits are set out in your residence rules, so check with your property team if you’re unsure.

    Can I bring an E-Scooter?

    No. E-scooters are not permitted anywhere inside LUNA properties or within their grounds for safety reasons.

    Is there a laundry room?

    It depends on the building. At Burnsall House, Trapezium and Burley Studios, every studio has its own washer dryer included in the rent. At Bridgeside there is a shared laundry room run by a third party, and washes are chargeable. Direct bookings within certain offer periods may include a laundry credit to help cover costs.

    Is there a gym?

    At Burnsall House, Trapezium and Burley Studios, there is an on site gym included in your rent. At Bridgeside, residents can instead pay to access the University of Nottingham’s Jubilee Sports Centre, which is just a short walk away.

    What’s included in a studio?

    Studios include everything you’d find in an en suite room plus a private kitchenette with combi microwave oven, two ring hob, under counter fridge with freezer compartment and sink, dining area or breakfast bar, extra storage and worktop space, a smart TV and, in most LUNA studios (Burley Studios, Trapezium and Burnsall House), an in room washing machine. Studios at Bridgeside do not include a washing machine.

    What’s included in my rent?

    Your rent covers electricity, water, WiFi and standard contents insurance. At most LUNA buildings (Burnsall House, Trapezium and Burley Studios), studios also include in-room laundry. At Bridgeside, laundry is available in a shared, chargeable laundry room, though direct bookers for certain booking periods may receive laundry credit. The only common extra cost for most residents is a TV licence if you watch live TV or BBC iPlayer.
